Matters arising from previous meeting:
The 3 Actions from the previous minutes relating to
membership will be discussed at the next meeting as the 3 people responsible
for those actions were apologies for this meeting.
Organisational structure
The poster outlining that all are welcome to the garden and
the time of the weekly get together, and seeking volunteers for the management
group positions will be posted by the end of the week.
Other business
Produce/Harvest Nights:
The honesty table is working well
in conjunction with the harvest night on Thursdays. The time will need to alter with available
light but at the moment we are meeting at 5.30pm to harvest and discuss what
needs doing in the short term. Everyone is welcome harvest night and it is a
great way to learn bit by bit what’s happening in the garden. So far Ali has banked $44 from the table.
Winter vegies:
Lee-Anne has volunteered to lead the horticulture planning group for the
time being as we need to get winter vegies planted, and will also design a six
bed rotation for the group to follow which will be displayed at the
garden. Lee-Anne will purchase
appropriate seedlings for the time of year and have them at the garden next
Thursday night 17th April.
Moved – Les Keeble and Seconded – Megan Vincent that Lee-Anne make the
purchases.
Seed bank: We are now
moving into seed saving time. Megan has
volunteered to be “banker of the seeds” for the time being, and will store and
label seeds that are collected from the garden or other sources. Moved – Lee-Anne Benson, Seconded – Vicki Honey
that Megan hold the seeds.

• Rock Seating Area – rocks are still to be sourced
• Shelter – Lee-Anne has asked 4 contractors for a quote including Wayne Maybury but he is too too
busy at the moment so declined to quote. Two others local builders have declined the job as they
prefer not to work with the recycled materials provided. Paul Taylor (Taylor Made Constructions)
has provided a quote for labour only and comes to $4,600 plus GST
Les has already organised the timber and posts from Albury Demolitions ($330 plus $150 for
delivery to the garden site). Lee-Anne showed the meeting a drawing of the shelter that Les has
designed. It will be timber with an iron roof that will be clad with flitches. The flitches have been
donated. Les has some guttering that he will also donate.
The budget for the shelter is $5,500 excluding the concrete slab. As the quote from Paul Taylor,
plus the materials purchased, comes in under the budget price, the meeting agreed to accept the
tabled quote. The intention is to start work on the shelter in mid-November once the major work on
the site has been completed. Lee-Anne will organise an amendment to the building permit as it is no
longer an owner-build.
• Plumbing – The Community Gang currently has two plumbers on the team. Les and Lee-Anne
have asked them to do the plumbing work at the garden which they are happy to do. They have
drawn up a schematic showing the layout of the major lines in the garden and identified the tap
points needed around the garden. Andrew at YFuel has organised the necessary gate valves and
other plumbing parts they need. Lee-Anne will organise to hire a trencher for next Tuesday and
Wednesday when they will start the plumbing work. Where there are pipes near the pool the
trenching will be done by hand.
Lee-Anne will organise a bbq lunch in the garden for them (as well as the usual cake!!)
Garden Finances
Elaine reported on the garden finances. Currently we have spent $11,544 on the terracing including
materials and Ron’s labour. Les remarked that Ron has been very generous with his time and pricing.
Les would also like to have two more days of Ron’s time to help fix the terraces that are crooked. This
was agreed to be the meeting.
We have spent $9,530 on the other garden assets with $25,470 is remaining, less the $4,600 for the
shelter above. So far the finances are running under budget which is great.
PROJECT UPDATE 16th October 2013
• Building Permit Application –This was submitted on Monday 23 September. Spoke to Jan who
says there is 1 permit ahead of us. Will call me when she has approval.
• Sleepers – Les and a few helpers started the curved steps at the back near the container. They
look great and more work will be done this week on these.
• Tanks – We will be replacing the guttering on the Shire’s little shed in the front corner of the pool
site and will plumb this to the tanks to start collecting water.
• Workshops – We had our No-dig garden and Spring Planting Workshop last Saturday which was
very successful, as usual. Everyone enjoyed the hands on approach and the information Sue
passed on. Anyone who would like information on no-dig gardens could visit the Australian City
Farms and Community Gardens Network website www.communitygarden.org.au. The next
workshop is Organic Pest Control on 9th November. Elaine will do the flyers and get to Lee-Anne.
We also need to consider asking for a donation from people attending the workshops to help set up
a garden kitty for the future.
• Commissioners Creek – We’ve had no word from NECMA regarding the Works on Waterways
Licence so the only work carried out on the lower part of the site has been a native reveg. 150
small plants were planted to stabilise the bank from the tanks down to the flats. Thanks to the
volunteers who climbed up and down the steep slope to plant the beautiful little natives. The cost of
the reveg plants will come out of the project budget.
• Donations – The rest of the bricks that Ken and Merle have donated have been collected and will
be used under the concrete steps.
• Working bees – Working bees are still happening fairly regularly and thanks again to everyone who
has been able to help.
• Ann and Terry Corr still have some tiered plant stands, trollies and other items for sale as per the
photos, so I will go and identify those of interest and ask for a price. I am waiting on prices from
Ann, they have been away. Vicki also offer a 3 tier steel trolley on wheels that she has at the farm
that the garden can use in the hot house.
• Bioweed - Elaine picked up the Bioweed and I now have the sprayer. I hope to get access to the
pool this Thursday to do some spraying.
• Rocla – I picked up the 10 pipes last week which were donated, thanks to John Brader and Rocla. I
will send a thank you letter.
• Community Development Day – Saturday 26th October from 9.30am. All welcome. Posters will go
up soon. (Elaine to organise the posters and bring a data projector and screen.
• Cash donations - $30.80 which has been donated at workshops was passed on to Judy at YCEN
who will bank the money and manage future funds.
• Community Gang - Derek who supervises the Community Gang has asked if we could add
something to our garden sign recognising the efforts put in by the boys.
Other Business -
• Pump and Generator– Les organised for Max McKenzie to come on site today to look at the
garden and make a recommendation on a water pump. During the discussion with Max it was
agreed that the pump should be large enough to deal with multiple tap points open at once.
However for tap points near the pump, the pressure may be too high and a system to reduce the
pressure at that point will be needed.
An electrical pump and petrol generator is preferable to a petrol pump as it will be handy to have a
generator in the garden for running other equipment (lights, tools etc) if required.
Max will see if he can get a good price on an appropriate sized pump and come back to us. The
working group will investigate a generator.
• Floral or Faunal emblem for the garden - Elaine needs to know what the working group would
like to have included as the emblem on the garden signage. This emblem is needed for the garden
manual that will be sent for printing next week. The working group considered the options and liked
Les’ suggestion of a kookaburra. A kookaburra has been ‘supervising’ the garden construction
since day one. It was agreed that this could be used at least for the garden manual. The final
decision can be made by the community at the larger meeting on October 26th.
• Community Garden Development Day on 26th OCTOBER (SATURDAY) from 9:30am to
12:30pm at The Old Courthouse in William Street. (Complimentary Breakfast from 9am). This is
a Community Garden Development Morning ‘Planning for the future of the Yack Community
Garden’ and is open to everyone who has been or would like to be part of the garden community.
Lee-Anne has organised the catering and morning tea. Elaine is to bring the data projector and
screen. Elaine will also prepare a poster and send to Lee-Anne ASAP.

Garden Accreditation Signage – As part of the
project agreement, there will be an accreditation plaque placed at the garden
for perpetuity. There is a standard
template for this signage but the Yack community are being asked to choose two elements
to be included. These are a garden or
community emblem and some inspirational words.
Lee-Anne
showed pictures of the plaques that have been placed at the other community gardens. For example, Jindivick chose a fairy wren as
their garden emblem as it is also the emblem of the local Kurnai people. Beechworth chose a locally endemic
orchid. Toolangi chose words written by
the local poet CJ Dennis.
The
meeting was asked to consider what emblem and words they would like to have
placed on their signage. Acknowledgement
of the key organisations and partners, plus their logos will also be included
on the plaque. The emblem choice and
wording will need to be decided over the next month or so.
PROJECT UPDATE 28th August 2013

Building Permit
Application
–Not submitted yet as the drawings for the conversion of the shipping container
into a pseudo ‘miner’s cottage’ are not yet complete.
·
Sleepers – There is a large
pile of concrete sleepers at the front of the pool that were delivered this
week. The 300m of steel has also been delivered.
·
Terracing - Ron Elliot has
made a good start by removing the trees and preparing for the slab extension. He
has also cut out the terracing. We can install
the two water tanks (already on site) as well as the shipping container after
more dry weather, possibly this Saturday (31/8).
·
20ft Shipping
container
– Will be delivered on Friday morning (30/8).
The meeting agreed that it should be a red colour.
·
Gabion mesh – I have researched gabion
walls that have been constructed as continuous arched lengths rather than as
boxed cages. These should disperse any
water pressure along the convex length of the gabion. They are also less labour intensive to construct.
To do the area we would need 17
m of curved gabion.
This will need 5 sheets of 3m x 2.4m x 2” mesh at a cost of $396. To fill the gabion we would need about 6m3 of
river stone at a cost of

There
was discussion about the best height and width of the wall as well as it’s long
term stability. It was decided that the
arched gabion was a good option, it should achieve its purpose of slowing down
the creek water in flood and could be constructed easily by the community. Lee-Anne will do a bit more research on the
materials cost.

Tanks – We now have 2 x
22,500 water tanks which we picked up last week. Thanks again to Neil for organising this.
·
Workshops – the next workshop
is on Saturday 14th September. Grafting by Neil Padbury. We have the usual posters to put up around
the town.
·
Commissioners Creek – no word yet from
Jenny Pena at the Shire re rocks to stabilise the banks. Have left another
message for her.
·
Donations – Megan has spoken
to her father about what he has left from the vineyard demolition. He has about
40 - 50 6ft treated pine posts. They had been in the ground for about 20 years,
so not sure if they still pose a concern re leaching of cca. They are the last
of what has been picked over, so he is happy to donate them if they can be of
use. If they are useful, they can be put aside for the garden.

Fruit Trees – Tom and Erin have
invited Lee-Anne to visit them this week to talk trees and make selections.
I’ll make a time for Thursday morning (29/8).
·
Working bee – at this stage
there will be a short working bee from 9am
to spread the sand and roll the water tanks in position. Everyone is welcome.
·
Sand for tanks – was delivered
today and placed up on site for the tanks, $50 per hour for the machinery.
Thanks to go to Alan Rockcliff for helping out.
The sand was kindly donated by John Maddock.

Polytunnel – Ann and Terry Corr
have a polytunnel for sale. It’s 4m across and very long. They are asking $400,
which is cheap but it’s been there for a long time and would need to be pulled
apart. It is much larger than our needs and we would only need the first 2 or 3
hoops so a lot of work. They also have some tiered plant stands, trolleys and
other items as per the photos. They will also donate any plastic pots we would
like.

Donation bucket – It would be great
to get a gold coin donation at each workshop or event we hold to start raising
money. The meeting agreed and Lee-Anne
will organise a tin.
·
Turning Composter – Merle and Ken have
a tumbling compost bin that they are happy to donate to the garden. This was
readily accepted by the working group.

Bullnose Verandah
Iron - Megan
can get access to a number of sheets and wondered if they could be used in the
garden. The offer was accepted and again
thank you to Megan.

Record of Donations – Lee-Anne is keeping
a list of everyone who has been and will be helping us on the project. We will be sending them letters of thanks as
we go along.
Other Business - Ellen asked if Lee-Anne
could visit the garden club and speak at their meeting one month to explain
about the garden project. This was
though to be a great idea. Every
opportunity should be taken to welcome people to the garden, particularly when
the construction stage is coming to a completion and the planting is
starting. It would be great to have
school kids come along.
Megan
suggested that we should ask people to start growing plants for the
garden. We need to be careful we don’t
get weedy plants. Perhaps if we prepare
a plant list of suitable plants to guide people.
Neil
offered some ornamental weeping cherries that he has which need to be potted on
now but could be used in the garden.

Project Update (Lee-Anne’s report) –

Planning and Building
Permits
– The planning permit
has arrived. I have spoken to Glen
Colwell at the Shire and will submit the building application when drawings are
complete. Glen says it will be a quick response as Les is doing the design.
·
Sleepers - Recycled concrete
sleepers from Albury Demolitions will be ready to pick up next week. Council
have approved the use of the area in front of the pool to store them. Wayne Maybury has agreed to offload them. SGA
has paid a $1000 deposit to secure them.
Les is still following up on prices for the
angle iron with a number of contacts. We
need 300m. The steel at Albury Recyclers
is now $8 per metre rather than the $3 per metre quoted last week. This may be negotiable; Megan has a contact
at the recyclers who she will ask.

Terracing - The Helen
Macpherson Smith approved the extra funding for the terracing that was not
included in the original budget. Ron
Elliot will be on site on Friday, if the weather holds, to remove the trees and
prepare for the slab extension. He’ll probably have to come back to do
terracing after more dry weather, at least 2 days worth.
Less
will hire a bobcat for the weekend when the posts and sleepers are being
installed in the terraces. As this will
be hard work it would be great if we could get assistance from the Mens Shed
and the Beechworth Correctional Centre.
Mark will chat to the Mens Shed and Lee-Anne will talk to Derek at the
prison.
The
terrace beds will also need to be filled with soil and then topped with a vegie
garden mix. (top 30cm). Lee-Anne and Les
have both offered clean soil that they have stockpiled at their properties. Elaine has calculated that 30 cubic metres of
vegie soil mix is needed. This can be
got from Begley’s Backyard @ $60 pm delivered.

The door could be cut in by the working group. There is a suitable door at Albury
Demolitions. Les will talk to Glen at the shire regarding the construction of
the shelter and the roofing and cladding of the shed and what permits and
insurances are needed.

Commissioners Creek – The creek has been
flowing high over the past few weeks with all the rain that has been
about. The fallen willow across the
stream at the neighbour’s side is diverting the creek water across the lower
end of the garden site. The bank is also
subsiding a little. Doing some
revegetation work near the creek with help with this subsidence. In addition Jenny Pena at the Shire will see
if some rocks can be brought in to stabilise the bank northern bank.

Gabion mesh - No further information
on this yet except for photos taken at the petrol station on the Hume Highway at
Wallan. Brett from Joss has supplied information re their supplier and I’ve met
with Derek from the Beechworth Prison re help with the build. Not sure whether the gabions will be stable
enough considering the water and soggy ground.
May need to rethink this. i.e. 1m wide instead of 450mm to prevent them
being pushed over by water. Or put in large rocks instead, well rings full of
soil or vertical sleepers with rocks behind .

Rocks Beechworth – Same as last
meeting
·
Tanks – Neil is following
up on the offer of the donated tanks.
One tank will be set on concrete behind the shipping container, the
other will have a base framed up and packed with sand before the tank is
installed.
There
is a charcoal grey tank already behind the pool pump shed that would appear to
be catching water from the roof. Who does
this belong to and is this the same catchment area we requested from the
shire? Lee-Anne will follow up on this with
the shire.

Community Food Grant – This has been put
on hold due to the upcoming federal elections.
·
Workshop- Composting
and Worm Farming held on August 10th – Another successful workshop with 16 people
attending. Bec is very knowledgeable and
an engaging presenter.
Our next workshop is Grafting
Fruit Trees on September 14th.
Please spread the word.

Boundary Pickets – Lee-Anne has put protective
caps on the star pickets that have been put in by the neighbour.

Other business
Donations - Megan suggested that
she may be able to get star pickets and treated pine posts donated from a
vineyard that is being pulled out. These
could be used around the gabion area where no food is being grown. Also available is a large quantity of
netting.
Also,
can we add tiles for mosaics to the wish list that is currently
circulating? And polypipe for an arbour
would also be welcome.
Community Involvement
- Also
discussed ways to increase the involvement of other community members in the
project. Make sure everyone feels
welcomed.
The
garden needs to have a Community Garden Development Day and invite the
community to become involved. This has
been booked in for October 26th from 9:30am to 12:30pm
(9:00am for breakfast
provided). This will be followed up by
another session in November.
Fruit Trees for the
garden –
Tom and Erins in Stanley will donate all of the trees for the
garden. This is very generous of them
and a letter of thanks from the working group will be sent. They should also be acknowledged in the
garden, as well as others who are assisting

Project
Update (Lee-Anne’s report) –

Planning Permit
Application
–I spoke to Richard on
Wednesday last week and submitted the new plan including the shipping
container. Both planners are away this week but Travis from the planning area
informs me that they are waiting on Heritage and Engineering reports and should
have an answer next week.

Sleepers - VLine. I have spoken to John who is still looking
for a way to get the donated sleepers to us if we still want them. They are C grade and could be used for
non-structural areas of the garden.
Prices
for alternative new sleepers

Golden Cypress $26 per 2.4m plus delivery.

Golden
cypress has a questionable lifespan, anything from 15 to 45 years quoted???

New
red gum sleepers cut locally $36 per 2.4m length. There are questions about the
sustainability of using red gum plus their longevity in the ground and resistance
(if any) to white ants.
A third option
explored was recycled concrete sleepers from Albury Demolitions. These cost $10 each measuring 250mm (h) x
75mm (d) x 1500mm (l). They were
previously used as flooring and are in a dark sandy colour. (Picture shown to
the meeting).
There is a large
quantity of these currently available and we would need to purchase around 500
at a total cost of $5000 plus delivery.
The meeting discussed
this new option and liked the look of the concrete sleepers shown. There are no issues about their longevity as
they will outlast any timber. Also, as a
recycled product, they are more sustainable than new concrete which was a
previous concern. Even though the
lengths of the concrete sleepers are shorter than the timber lengths, the total
cost of $5000 is still better than the cost of a comparable quantity of timber.
Using the short
lengths however will mean an increased number of joins in the terraces and
therefore an increased quantity of steel posts will be required. New steel posts have been costed - black are $27
per linear metre or gal $38 per linear metre. However there is a quantity of
angle iron at Albury Demolitions at $3 per metre that we can access that would
counteract the increased quantity required.
Not sure of the quantities available.
After discussion, the
following motion was put to the meeting;
‘Having considered all of the options presented regarding the various
sleeper materials that could be used in the terracing, this meeting decided
that using the recycled concrete sleepers is the preferred choice. Lee-Anne is to proceed with putting a quote
for the sleepers forward to be considered by the HMST working group.’

Judy proposed that
YCEN could give Albury Demolitions a 10% holding deposit to secure the 500
sleepers required as they are not currently on hold and could disappear. Elaine
will re-imburse YCEN from the project budget.
Les will also find
out how much angle iron is available at Albury Demolitions and secure that.
As the cost of the
terracing is in addition to the initial project budget, a full costing will
need to be given to the HMST Working group by next Wednesday for approval. In order to do so Lee-Anne needs to send
Elaine the following quotes;

As discussed at the meeting, the beds will
need to be filled with a mixture of clean soil sourced locally, spoiled hay,
horse manure (Albury race course or locally?) etc to build them ready for
spring planting. A vegie mix can be bought
in will be for the top planting layer only.
Elaine needs to get these quotes by next
Tuesday so they can be signed off by the end of the month.

The door could be cut in by the working group. There is a suitable door at Albury

Gabion mesh - Brett from Joss has
supplied information re their supplier and I’ve met with Derek from the Beechworth
Prison re help with the build. Not sure
whether the gabions will be stable enough considering the water and soggy
ground. May need to rethink this. i.e.
1m wide instead of 450mm to prevent them being pushed over by water. Or put in
large rocks instead or well rings full of soil etc. Or vertical sleepers with
rocks behind to slow water.

haven’t visited yet.

Community Food Grant – Haven’t heard
anything yet.

Workshop- Kitchen
Garden Design held on July 13th – This was a great morning. 14 people plus
myself attended. Lou had everyone engaged right from the start and began by
asking what questions people were hoping to have answered. We had a good
mix of town and country folk so many different experiences with growing food,
so also a variety of questions from "what do I plant?" to "how
do I keep up the water?" There was lively chatter at morning tea
break, with lots of participants helping others with local knowledge and
experiences. The comments at the end of the morning were in favour of Lou as a
presenter and of the content being useful. There were quite a few new faces who
were keen to be kept in the loop as far as the Community Garden
goes. It will be great if we can keep up the momentum for the next
workshop.
Our
next workshop is Composting and Worm Farming on August 10th. Please spread the word around.

Boundary Survey – Contacted a couple
of surveyors. Waiting for a response re how much it will cost to do the survey. Bruce Walpole suggested if the current
markers are in place and we don’t need them to place new pegs then it will be
much cheaper. Our neighbour David Larken will find his file re the survey done
about 15 years ago to help Bruce and to save us money. Brendan Windsor from EDM
Group says the last survey was in 1880 i.e. “n.u.a.” which means there is no
record of the survey. He’ll email me tomorrow re how easy or hard it will be to
do.
The
meeting discussed the survey and agreed that as we were building inside the
markers placed by the neighbour, there wasn’t a need to get it done urgently,
particularly if it was going to be very expensive. However it would be good for YCEN to know the
boundary as they are covering the area for public liability insurance. It may be possible to determine the boundary
by measuring from the front boundary if that can be determined by council or
Telstra or Vic Roads. This can be
followed up by YCEN.
For
safety reasons, protective caps need to be put on the star pickets that have
been put in by the neighbour and secured with a cable ties. Lee-Anne will
organise this.
When
building work is being done we will also need to cordon off the area with
orange safety mesh. Les offered some that
he has.
Other business
Judy advised that the Yackandandah Historic
Courthouse committee were very supportive of the garden project and the usage
of the courthouse for workshops and meetings.
They have agreed to provide more chairs and tables at the courthouse so that
they don’t have to be dragged up and down from YCEN each time.
Ellen advised that she is reporting the
community garden news to the garden club at their regular meetings. She also raised the point that the community
garden workshops should not clash with the garden club events. This was agreed to by the meeting. The working group acknowledged the long
standing and ongoing contribution the garden club makes around the town. Every effort should be made to ensure that
the garden club, and all of the members, feel welcome to be part of the
community garden project and that it would benefit from their involvement.
